KINAMU Events Management


The KINAMU Event Management module offers several modules for your Sugar installation to manage events, locations, invitations, participants, costs, revenues, speakers, suppliers, partners, and target group lists.
With the Events module, you can track all participant information in the event’s subpanels. Using the mailing function, you can send mailings to selected targets of your event and track these mails with the Sugar Email module.
The integrated dashlets provide you with an overview of the status and capacity of a current event without the need for cumbersome reports. It is also possible to visualize the comparison between RSVPs and actual participants.

Working with events

The "Actions" menu contains several actions.
- With "Send Invitations," you can send event invitations to existing target lists.
- With "Send Reminders," you can send event reminders to existing target lists.
- With "Send Feedback Request," you can send feedback requests to participants after the event to collect their feedback.
- With "Send Test Invitations," "Send Test Reminders," and "Send Test Feedback Request," you can preview the email with data from a selected contact and send this preview to any recipients.

Invitation information

The invitation information consists of five columns. All these dropdown lists can be customized with Sugar’s dropdown editor.

- Invitation status (Accepted, Tentative, Declined)
Test sending of invitations

To safely send invitations, Save the Date messages, or event updates, KINAMU Events Management offers a test function. Here you can send different templates with event data to any email address or to a list of testers. Once the template and a contact are selected, a real-time preview of the email opens.
QR Code
Once a participant has accepted an invitation, it is possible to generate a QR code and send it automatically in a reply to the participant. Alternatively, the QR code can be retrieved in the invitation module on Sugar.
The QR code can then be scanned at the event entrance to determine the number of actual participants.

Capacity
Event capacity can be categorized as "Limited," "Waiting list," or "Unlimited."

With "limiting," you can restrict the number of participants according to the location capacity. Once this number is reached, no further registrations for the event are possible.

"Waiting list," as the name suggests, creates an automatic waiting list once the location capacity is reached. When a participant cancels, the next participant on the waiting list is moved up.
"Unlimited" allows registration of an unlimited number of participants for the event, regardless of location capacity.
Ticket module
In the ticket module, you can manage tickets for additional bookings (parking tickets, hotel stays, event dinners, or other sub-events) and display ticket attributes such as:
Ticket availability (maximum tickets)
Tickets sold
Ticket price
Combined with the revenue module, where you can manage additional income, the KINAMU Events Management module can automatically calculate your total revenues.

Tickets sold module
Within the tickets themselves, it is possible to display the "Tickets Sold" module, which provides an overview of sold tickets, the number of tickets, and the invitations linked to the tickets. This is particularly useful when details are needed for reporting purposes.
Export
It is also possible to export a participant list as a PDF or CSV file. The file then shows attributes such as participant ID, name, event name, invitation status, QR code, and more.
